PMS Integration & Compatibility
How guest data flows between your property management system and Grooviz, what happens without an integration, and answers to the reliability questions hospitality buyers ask.
Supported PMS products
Integrations are grouped by their current status. Products listed as “subject to assessment” are technically feasible via the Grooviz API but require a property-specific assessment to confirm field mapping, sync frequency, and PMS access.
Available
Grooviz Guest Data API
REST API (current)
Direction
One-way (external system ? Grooviz)
Data exchanged
Guest data pushed to Grooviz via the API is reflected on the paired room TV within the normal device sync cycle. When a checkout event arrives, the room TV clears OTT sessions and guest data on the next sync. No data is written back to the PMS from Grooviz.
Admin Dashboard Manual Entry
Web dashboard (current)
Direction
Manual (staff ? Grooviz)
Data exchanged
Front desk staff enter or update guest information directly in the Grooviz admin dashboard. Changes are pushed to the paired room TV on the next sync. This is the fallback when no PMS integration is configured.
Subject to assessment
Oracle OPERA Cloud
Cloud (SaaS)
Direction
One-way (OPERA ? Grooviz) via API or export
Data exchanged
Feasible via OPERA Cloud APIs or scheduled export. Requires API credentials, endpoint access, and a property-specific assessment to confirm field mapping and sync frequency.
Cloudbeds
Cloud (SaaS)
Direction
One-way (Cloudbeds ? Grooviz) via API
Data exchanged
Feasible via the Cloudbeds API. Requires API credentials and a property-specific assessment to confirm field mapping, webhook availability, and update cadence.
Hotelogix
Cloud (SaaS)
Direction
One-way (Hotelogix ? Grooviz) via API or export
Data exchanged
Feasible via Hotelogix APIs or export. Requires API access and a property-specific assessment to confirm field mapping and sync frequency.
Mews
Cloud (SaaS)
Direction
One-way (Mews ? Grooviz) via API/webhook
Data exchanged
Feasible via Mews Open API and webhooks. Requires API credentials, webhook configuration, and a property-specific assessment to confirm field mapping.
Planned
Two-way PMS sync
Roadmap — not yet available
Direction
Two-way (Grooviz ? PMS)
Data exchanged
A two-way connector that would write service-order status and device state back to the PMS. Not yet available. Target products and timeline will be confirmed with the first properties that require two-way flow.
Direct PMS connectors (OPERA on-premise, eZee FrontDesk)
Roadmap — not yet available
Direction
One-way (PMS ? Grooviz)
Data exchanged
Direct connectors for on-premise PMS deployments. Not yet available. On-premise integrations require network access to the PMS server and a property-specific assessment.
Guest data exchanged
The following guest-facing fields are sent from the PMS to Grooviz. All data is one-way (PMS → Grooviz) and is cleared from the room TV at checkout.
| Field | Direction | Description |
|---|---|---|
| Guest name | PMS ? Grooviz | First and last name, used for the personalized welcome screen on the room TV. Stored only for the duration of the stay and cleared at checkout. |
| Room number / assignment | PMS ? Grooviz | The room the guest is assigned to, so the Grooviz device paired with that TV displays the correct welcome and guest session. |
| Arrival date and time | PMS ? Grooviz | Check-in date and time, used to activate the personalized welcome on the room TV when the guest arrives. |
| Departure date and time | PMS ? Grooviz | Checkout date and time. When the departure passes, the checkout clear is triggered on the room TV to sign out OTT sessions and remove guest data. |
Direction and timing
All current integrations are one-way: the PMS sends guest data to Grooviz, and Grooviz does not write back to the PMS. A two-way connector is on the roadmap.
One-way (current)
Guest name, room, arrival, and departure are pushed from the PMS to Grooviz. The room TV reflects the update on its next sync cycle. When the departure time passes, the checkout clear is triggered automatically — OTT sessions are signed out and guest data is removed from the device.
Two-way (planned)
A two-way connector would write service-order status and device state back to the PMS. Not yet available. Target products and timeline will be confirmed with the first properties that require two-way flow.
Without an integration
If no PMS integration is configured, Grooviz works through the admin dashboard. Front desk staff enter guest names, room assignments, and check-in/checkout dates manually when a guest arrives, and trigger the checkout clear when the guest departs. This is a viable workflow for smaller properties or during a pilot phase before integration is set up.
At check-in, the front desk agent opens the Grooviz admin dashboard and enters the guest name, room number, and stay dates for that room.
The room TV displays the personalized welcome on its next sync (typically within minutes).
During the stay, the guest uses OTT, AI concierge, and ordering as usual.
At checkout, the agent triggers the checkout clear for that room in the dashboard. The room TV signs out OTT sessions and removes guest data on the next sync.
If a device is offline at checkout time, the pending clear is visible in the dashboard and retried when the device reconnects.
Commercial terms
Integration setup
Integration setup is scoped and quoted per property as part of the deployment assessment. For API-based integrations, the setup covers field mapping, sync frequency configuration, and end-to-end testing with the property’s PMS environment.
Third-party dependencies
API-based integrations may require credentials, API access, or webhook configuration from the PMS provider. Any PMS provider fees, API licensing, or third-party middleware costs are the responsibility of the property and are not included in the Grooviz proposal unless explicitly stated.
Additional charges
One-time integration setup and any recurring integration maintenance fees are listed separately in the deployment proposal. Manual entry via the admin dashboard carries no additional integration charge.
Reliability questions
What continues working when internet connectivity is lost?
Each Grooviz device caches its last-synced configuration locally — branding, channel lineup, menus, and the current guest session remain available on the room TV. Guests can continue watching live TV and OTT (subject to the streaming service requiring its own internet connection) and use the AI concierge and ordering features that don’t depend on a live cloud round-trip. The admin dashboard cannot push new updates to devices while the property’s internet is down, but devices resume syncing automatically when connectivity is restored. New check-ins and checkout clears that arrive during the outage are queued and applied when devices reconnect.
What happens if a checkout event does not reach a TV?
If a checkout clear cannot reach a room device — because the device is offline, powered off, or the network is down — the clear is recorded as pending in the admin dashboard. Staff can see which rooms have a pending checkout clear and can retry the clear manually once the device is back online. Until the clear completes, the previous guest’s OTT sessions remain on the TV; staff can also perform a manual clear by accessing the device directly. The dashboard surfaces pending clears so they are not missed.
Can staff identify offline devices or pending resets?
Yes. The admin dashboard shows the online/offline status of every paired device, along with any pending checkout clears or configuration updates. Staff can filter by status to see which rooms need attention. This visibility is available at the property level and, for multi-property operators, across all properties from a single login.
Who replaces hardware, and what are the actual support hours and escalation arrangements?
Hardware ownership and replacement responsibility are set out in each property’s deployment proposal — the device may be purchased, rented, or bundled, and warranty and replacement terms are agreed per property. Support is provided by the Grooviz team (TekChant Solutions LLP). Standard support hours are Monday-Saturday, 10:00-19:00 IST. Critical-issue escalation is available via the support channels specified in the proposal (phone and email). The exact response-time SLA, after-hours coverage, and escalation path are documented in the service agreement and confirmed before deployment.
What training, pilot and rollout assistance is provided?
Deployment follows a three-phase approach. (1) Assessment: a compatibility check of the property’s TVs and network, followed by a proposal with the deployment plan and commercial terms. (2) Pilot: Grooviz is set up on a small set of rooms to validate the experience in the property’s environment, with hands-on training for front desk and admin staff. (3) Full rollout: the remaining rooms are paired and configured, with refresher training and a go-live check. The pilot and rollout are led by the Grooviz team; training covers the admin dashboard, front desk workflow, and staff app. Ongoing support and refresher training are available after go-live.
